Job Description

Responsible for coordinating and supervising the administrative services of the organization. This includes managing staff, developing policies and procedures, and ensuring efficient office operations. The role requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

Key Responsibilities:
Office Management:

Oversee the day-to-day operations of the office, ensuring a smooth workflow and efficient use of resources.
Manage office supplies and inventory, ensuring that the office is adequately stocked at all times.
Coordinate maintenance and repairs for office equipment and facilities.
Staff Supervision:

Supervise and support administrative staff, including hiring, training, and evaluating performance.
Delegate tasks and responsibilities to appropriate personnel.
Ensure staff adherence to company policies and procedures.
Policy Development and Implementation:

Develop and implement administrative policies and procedures to improve efficiency and effectiveness.
Ensure compliance with legal and regulatory requirements.
Review and update policies regularly to reflect changes in regulations and best practices.
Budget Management:

Assist in the preparation and management of the administrative budget.
Monitor expenses and ensure that the department operates within budgetary constraints.
Identify cost-saving opportunities and implement measures to reduce expenses.
Communication and Coordination:

Serve as a liaison between different departments and management, facilitating effective communication and collaboration.
Coordinate meetings, events, and travel arrangements for staff and executives.
Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
Records Management:

Maintain and organize company records, ensuring that they are accurate, up-to-date, and easily accessible.
Implement and manage a filing system for electronic and paper documents.
